Volunteer Requirements

Please note: These requirements must be renewed each school year.

State law requires schools to have Background Checks on file (renewed annually) as well as documentation of completed online training on Mandated Reporting (completed every school year) for all volunteers.

Adults may not attend field trips, help out in the classroom or at events such as the Fun Run, until they have fulfilled these requirements. Note: Adults who are simply visiting the school (not supervising children) are not required to complete these activities.

To volunteer for activities, please complete these requirements early in the school year but no later than 1 week prior to the event to give our staff time to process the information and ensure that your information is updated in our school records.

BACKGROUND CHECKS
NOPD Background Checks may be completed and  processed at the NOPD office at 1615 Poydras St. (this is a new, temporary location) and returned to the office managers at any of the school offices. There is a $5.00 fee). The Orleans Parish Sheriff’s Office also provides background checks at 2800 Perdido St. Please arrive no later than 3pm.

Volunteers who live outside of Orleans Parish must complete a background check in the parish in which they reside and are subject to that parish’s processing fees. This must be done each school year.

Bring your completed background check to the campus office managers. If you choose to mail in the background check form to the NOPD, please provide them with a stamped envelope addressed to The Willow School, 7315 Willow St., NOLA 70118 (for Lower School); 5625 Loyola Ave., NOLA 70115 (Middle School); or 5624 Freret St., NOLA 70115 (High School).

NEW ON-SITE BACKGROUND CHECK OPPORTUNITY
New this year, Willow parents/guardians needing a background check for Willow School activities may schedule a time with Shaundrell_Santamarina@willowschoolnola.org to complete a federal background check at our High School campus, with results available immediately. The fee for this service is $54.50. This on-site option eliminates the need to go downtown and offers background checks immediately, when time is an issue.

MANDATED REPORTER TRAINING
We have contracted with SafeSchools to provide online Mandated Reporter training that can be done at your convenience. It should take about 30 minutes of your time. This must be completed every school year.

Directions: 

  1.  Go to:http://thewillowschool.la.safeschools.com/

  2. Click Register if you have never done this training before.  If you have done this training before, then enter your username, which should be your email address, to log in.    

  3. Enter this Registration Code:  a4e7afe8

  4. Register your information PLEASE USE YOUR EMAIL ADDRESS AS YOUR USERNAME

  5. Choose a position: parent

  6. Choose a location: Willow School parent 

  7. Once logged in, the Mandated Reporter Training should be shown on that page. It will say that it is the Mandated Reporter (Louisiana version).

  8. Take the 30-minute course and post-test.

  9. Follow the directions until the very end, including clicking next to your name–that is how the school is notified that you have successfully completed the course.

  10. It’s a good idea to print/save your certificate for your records.

Every school volunteer must have a current background check on file AND current training on Mandated Reporting. Please share this message with any adults (grandparents, babysitters, alumni, etc.) who hope to help out at school events.
